What is FileStore Change Control?

FileStore's Change Control allows detailed control of revisions to documents, tracking of versions and issue history.

Any form of electronic document can be made subject to a mandatory change control process which would typically include:

  • Check out of FileStore for editing
  • Editing of document
  • Routes for approval / comment
  • Making amendments
  • Issue of final version for sign off approval
  • Issue of new revisions
  • Changing status of 'Master' version
  • Automatic email notification to subscribers

What does FileStore Change Control do?

Change Control allows approval requests and issues to be coordinated via a format workflow using the optional FileStore BPM. This allows very complex change requests to be managed and for interested parties to be automatically notified for their approval before final release.

Document issues are recorded to both external and internal staff along with date, version and issue notes. With the optional MailStore email archiving, FileStore can even record that an external person has received and opened the email issue thereby giving a positive 'proof of receipt'.

Revisions can be defined as major or minor and previous versions are maintained on the system along with a full audit trail of who did what and when.

If a formal signature ids required on the document then FileStore's Digital Signature can be used to provide a legally valid approval to the document complete with a visual handwritten signature at the bottom.
